"AUTOTAX" was developed by INNOSPACE SOLUTIONS, a mobile commerce solutions app development company based in Sydney, Australia.


The "AUTOTAX" GPS Mileage Logbook mobile app helps Australian's, especially sole traders keep tax data records of their trip log mileage and vehicle expenses associated with toll road costs, vehicle expenses, maintenance, KM travelled and much more to help save time, money and stress managing your logbook data


All user data is fully backed-up to the cloud and is available to download anytime. Users can also allow their accountant to access their mileage data by linking them to your account.

Autotax has been developed by businessman and accountants from Australia. The app is fully compliant with ATO tax guidelines for mileage logbook usage.

Record trip log data

Submit your mileage in (KM's) for every road trip you wish to record for tax claiming purposes.

Scan receipts

Scan all your receipts and have them backed-up on the cloud using the ABBBY OCR 'SCAN TAX RECEIPTS' feature

Record vehicle expense data

Record vehicle expenses such as tyre changes, oil changes, petrol, toll roads and other vehicle related expenses. All expense data is backed up to the cloud.

Generate expense reports in .CSV & PDF

Generate a vehicle expense report by specified date periods and have it sent directly from the mobile app to your email address or uploaded to your Dropbox. All data is backed up to the cloud.

Generate mileage log reports in .CSV & PDF

Generate a trip report by specified date periods and have it sent directly from the mobile app to your email address or uploaded to your Dropbox. All data is backed up to the cloud.

Provide accountant access to your reports

Give your accountant access to your logbook data and allow them to generate a .CSV or PDF report for a specific date period on your behalf.

Data Storage

All users get unlimited data storage for their trip and expense reports. You can have them delivered by email address or uploaded to your Dropbox.

Accountant Portal

The 'Accountant portal' allows the app user to provide access to their reporting data.

You can give access to your accountant to manage your data and then contact our admin and we will manually allocate your user profile to your accountants profile.

Privacy Policy

This privacy policy governs your use of the software application AUTOTAX (“Application”) for mobile devices that was created by INNOSPACE SOLUTIONS PTY LTD. The Application is useful and provides Australian business the ability to track mileage and record vehicle expenses for tax purposes. The GPS mileage log book provides the app user with the ability to track and download trip logs and vehicle expense reports by .CSV Excel spreadsheet file. All data is backed-up in the cloud and can be accessed anytime.


What information does the Application obtain and how is it used?


User Provided Information

The Application obtains the information you provide when you download and register the Application. Registration with us is optional. However, please keep in mind that you may not be able to use some of the features offered by the Application unless you register with us. When you register with us and use the Application, you generally provide (a) your name, email address, age, user name, password and other registration information; (b) transaction-related information, such as when you make purchases, respond to any offers, or download or use applications from us; (c) information you provide us when you contact us for help; (d) credit card information for purchase and use of the Application, and; (e) information you enter into our system when using the Application, such as contact information and project management information. We may also use the information you provided us to contact your from time to time to provide you with important information, required notices and marketing promotions.


Automatically Collected Information

In addition, the Application may collect certain information automatically, including, but not limited to, the type of mobile device you use, your mobile devices unique device ID, the IP address of your mobile device, your mobile operating system, the type of mobile Internet browsers you use, and information about the way you use the Application.


Does the Application collect precise real time location information of the device?

When you visit the mobile application, we may use GPS technology (or other similar technology) to determine your current location in order to determine the city you are located within and display a location map with relevant advertisements. We will not share your current location with other users or partners.


If you do not want us to use your location for the purposes set forth above, you should turn off the location services for the mobile application located in your account settings or in your mobile phone settings and/or within the mobile application.


Do third parties see and/or have access to information obtained by the Application?

Yes. We will share your information with third parties only in the ways that are described in this privacy statement.


We may disclose User Provided and Automatically Collected Information: as required by law, such as to comply with a subpoena, or similar legal process; when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request; with our trusted services providers who work on our behalf, do not have an independent use of the information we disclose to them, and have agreed to adhere to the rules set forth in this privacy statement.


If INNOSPACE SOLUTIONS PTY LTD is involved in a merger, acquisition, or sale of all or a portion of its assets, you will be notified via email and/or a prominent notice on our Web site of any change in ownership or uses of this information, as well as any choices you may have regarding this information.


What are my opt-out rights?

You can stop all collection of information by the Application easily by uninstalling the Application. You may use the standard uninstall processes as may be available as part of your mobile device or via the mobile application marketplace or network. You can also request to opt-out via email, at support@autotax.com.au.


Data Retention Policy, Managing Your Information

We will retain User Provided data for as long as you use the Application and for a reasonable time thereafter. We will retain Automatically Collected information for up to 24 months and thereafter may store it in aggregate. If you’d like us to delete User Provided Data that you have provided via the Application, please contact us at support@autotax.com.auand we will respond in a reasonable time. Please note that some or all of the User Provided Data may be required in order for the Application to function properly.


Children

We do not use the Application to knowingly solicit data from or market to children under the age of 13. If a parent or guardian becomes aware that his or her child has provided us with information without their consent, he or she should contact us at support@autotax.com.au. We will delete such information from our files within a reasonable time.


Security

We are concerned about safeguarding the confidentiality of your information. We provide physical, electronic, and procedural safeguards to protect information we process and maintain. For example, we limit access to this information to authorized employees and contractors who need to know that information in order to operate, develop or improve our Application. Please be aware that, although we endeavor provide reasonable security for information we process and maintain, no security system can prevent all potential security breaches.


Changes

This Privacy Policy may be updated from time to time for any reason. We will notify you of any changes to our Privacy Policy by posting the new Privacy Policy http://www.autotax.com.au/privacy.html and informing you via email. You are advised to consult this Privacy Policy regularly for any changes, as continued use is deemed approval of all changes. You can check the history of this policy by referring to the date last posted (LAST UPDATE: 6/09/2014).


Your Consent

By using the Application, you are consenting to our processing of your information as set forth in this Privacy Policy now and as amended by us. "Processing,” means using cookies on a computer/hand held device or using or touching information in any way, including, but not limited to, collecting, storing, deleting, using, combining and disclosing information, all of which activities will take place in the State of NSW, Australia. If you reside outside the State of NSW, Australia your information will be transferred, processed and stored there under State of NSW, Australia privacy standards.

  • Q. How do I register?

    Simply download the app onto your device from either the iOS Apple Appstore or Android Google Play and install.

    Once app is installed, Click on "Register a new user account" on the app homescreen to register.

  • Q. What is the ATO logbook method?

    Logbook method

    For each year you need:

    • - odometer readings for the start and end of the period being claimed
    • - business usage percentage based on the logbook
    • - receipts or other documents showing fuel and oil expenses, or a reasonable estimate based on odometer readings
    • - receipts or other documents showing other expenses for your car – for example, registration, insurance, lease payments, services, tyres, repairs, interest charges.

    Your logbook is valid for five years. If this is the first year you are using this method (or the five years has expired) you will need to keep a logbook for this year. The logbook must cover at least 12 continuous weeks and show:

    • - when the logbook period begins and ends
    • - the cars odometer readings at the start and end of the logbook period
    • - the total number of kilometres travelled in the logbook period
    • - the number of kilometres travelled for work activities based on journeys recorded for the period in the logbook. In recording the journeys, you need the start and finishing times of the journey, the odometer readings at the start and end of the journey, kilometres travelled, and the reason for the journey
    • - the business-use percentage for the logbook period.



    The following table sets out some of the rules about keeping logbooks in different circumstances:

    If this is the first year that you are using the logbook method, you must keep a logbook during this income year.

    Using the car for less than 12 weeks before the end of the income year

    If you started to use your car for work-related purposes less than 12 weeks before the end of the income year, you are able to continue to keep the logbook in the following income year so that your logbook covers the required 12 weeks.

    Keeping logbooks for two or more cars

    If you want to use the logbook method for two or more cars, the logbook for each car must cover the same period.


    You also need to monitor the pattern of your car usage during the year and adjust the business-use percentage accordingly. For example, your business use is likely to vary during a holiday period.

  • Q. How do I pay for the app?

    First make sure you have created an account. Once logged in, either submit a trip log or vehicle expense report to trigger the in-app purchase. Enter your apple or google credentials and then, once activated, you will have full access to the app.

  • Q. How do give my accountant access to my data?

    You will need to contact our support team at support@autotax.com.au and quote your registered profile name/company name plus your accountants name and our team will link your user profile data with your accountants profile.

  • Q. Why is the app slow or crashing?

    As we have discovered that if you have multiple apps open and have not cleared your safari or chrome browser history then this app may crash or freeze.


    To avoid this issue please make sure you have cleared your cache and closed down all other applications while using the GPS as this app uses a lot of phone memory. Then, restart the app. Should work no issue.


    We will continue to find solutions to fix this issue but for now please follow these instructions to avoid these problems from occuring.

  • Q. What is the accountant portal used for?

    The accountant portal is so the app user can allow access to their accountant via an admin console to download reporting data.

  • Q. In which format can you export reports?

    You can export reporting data in both .CSV and PDF format.
